The Frederick School respects your privacy and is committed to handling personal information carefully, fairly and transparently.

This Privacy Policy explains what information we may collect when you visit our website, contact us, register your interest in a course or subsequently become a learner, how that information is used and the rights you have in relation to it.

Who we are

The Frederick School is operated by Martin Dewberry. For the purposes of UK data protection law, Martin Dewberry, trading as The Frederick School, is the data controller for personal information collected through this website and in connection with courses provided by The Frederick School.

If you have any questions about this Privacy Policy or about how your personal information is handled, please contact:

Email: contact@thefrederickschool.co.uk

What information we collect

The information we collect depends on how you interact with us.

If you complete the Register Your Interest form or contact us directly, we may collect information including:

  • your name;

  • your email address;

  • your telephone number;

  • information about how you heard about The Frederick School;

  • information you choose to provide about your interest in the course, what you hope to learn or what has drawn you to it;

  • correspondence between you and The Frederick School; and

  • any other information that you choose to provide during the enquiry or enrolment process.

If you subsequently accept a place on a course, we may also collect information reasonably required to administer your enrolment, maintain appropriate course records, communicate with you, record attendance, maintain assessment records and results, provide feedback, issue certificates and manage payments. Our website may also collect limited technical information automatically, such as your IP address, browser or device information and information relating to cookies and website usage.

Special category personal information

The initial Register Your Interest form does not ask you to provide special category personal information, such as information about your health or disability, and we ask that you do not include this at the enquiry stage.

If special category personal information is provided to us unnecessarily, we will aim to minimise or delete it where appropriate.  There may be circumstances later in the enrolment or learning process where information relating to health, disability, accessibility or other sensitive matters is relevant, for example when considering reasonable adjustments or supporting participation on the course.  Where this is necessary, we will explain why the information is required and handle it in accordance with applicable data protection law.

How we use your information

We may use your personal information to:

  • respond to an enquiry or registration of interest;

  • arrange and conduct a suitability conversation;

  • answer questions about the course;

  • consider whether the course is an appropriate fit for you;

  • offer and administer a place on the course;

  • communicate with you before, during and after the course;

  • administer bookings, payments and course records;

  • record attendance and participation where appropriate;

  • provide learning feedback and support;

  • issue completion certificates;

  • respond to requests for confirmation of study or other reasonable administrative requests;

  • operate, maintain and protect the website;

  • maintain appropriate business, financial and administrative records;

  • comply with legal or regulatory obligations; and

  • establish, exercise or defend legal rights where necessary.

We will not sell your personal information.

Our lawful basis for using your information

UK data protection law requires us to have a lawful basis for processing personal information. Depending on the circumstances, we may rely on the following bases:

Steps before entering into a contract and performance of a contract

Where you register your interest, ask us to consider you for a place, enrol on a course or enter into an agreement with The Frederick School, we may need to process your information in order to take steps at your request before entering into a contract or to fulfil our obligations under that contract.

Legitimate interests

We may process information where it is reasonably necessary for the legitimate operation and administration of The Frederick School. This may include responding to correspondence, maintaining appropriate records, improving our services, protecting the security of the website and managing the school effectively. Where we rely on legitimate interests, we consider whether those interests are balanced against your rights and reasonable expectations.

Legal obligations

We may process or retain information where this is necessary to comply with legal, financial, tax, safeguarding or other obligations that apply to us.

Consent

Where we specifically ask for your consent, you may withdraw that consent at any time. If The Frederick School introduces optional marketing emails or newsletters in the future, we will not add you to them simply because you have registered your interest in a course. Where consent is required for marketing, you will be given a separate choice. The Frederick School does not currently use personal information to make decisions about applicants through automated decision-making or profiling.

Special category information
Some information, including information about health or disability, is classed as special category personal data and receives additional protection under UK data protection law. Where you voluntarily provide this type of information in connection with a suitability conversation, a request for reasonable adjustments or your participation in the course, The Frederick School will only process it where an appropriate additional legal condition applies. In most such circumstances, we will rely on your explicit consent.

In limited circumstances, special category information may be processed without consent where another condition permitted by law applies, for example where this is necessary to protect someone’s vital interests, establish or defend legal claims, or respond appropriately to a serious safeguarding concern. We will only process such information where reasonably necessary for the relevant purpose and will limit what we collect and retain accordingly.

Registering your interest

Submitting the Register Your Interest form does not commit you to enrol on a course or make a payment. The information you provide is used to respond to your enquiry, understand what you are looking for and, where appropriate, arrange a suitability conversation. You do not have to provide information through the form. However, we need sufficient contact information to respond to you and may need certain information in order to consider an application or administer an enrolment.

Suitability conversations

The purpose of a suitability conversation is to provide an opportunity for you to ask questions about the course and for both you and The Frederick School to consider whether the course is likely to be appropriate for you. Any brief notes made in connection with this process will be limited to information reasonably relevant to the enquiry or enrolment decision and will be handled in accordance with this policy.

Payments and financial information

If you accept a course place, information relating to your payments may be retained for administrative, accounting and legal purposes. Where payments are processed through a bank, payment service or other payment provider, that organisation may process information in accordance with its own privacy arrangements. The Frederick School does not need to retain full debit or credit card details where payment information is handled directly by a payment provider.

Who we may share information with

Personal information is not routinely disclosed to other organisations. However, it may be processed or shared where reasonably necessary with trusted organisations that help us operate the website, administer the school or meet our legal obligations. These may include:

  • Wix, which provides and hosts the website and associated website services;

  • email and communications providers;

  • banking or payment providers;

  • IT, website or technical support providers;

  • Google and associated services, where we use services such as Google Ads, website analytics or embeeded YouTube content, subject to applicable cookie and consent choices;

  • professional advisers such as accountants, insurers or legal advisers;

  • course venues or service providers where limited information is genuinely necessary for course administration; and

  • public authorities, regulators or law-enforcement bodies where disclosure is required by law.

We aim to disclose only the information reasonably necessary for the relevant purpose. Wix acts as a data processor in relation to information processed through a Wix website on behalf of a site owner. Wix may use servers in a number of locations around the world.

Where your information is stored

Information submitted through this website may be stored within systems provided by Wix and may also be received or stored within the email and administrative systems used by The Frederick School. We take reasonable steps to protect personal information from unauthorised access, alteration, disclosure or loss. No online system can be guaranteed to be completely secure, but we aim to use reputable service providers and appropriate security measures.

International data transfers

Some technology and service providers used in operating the website or communicating with you may process information outside the United Kingdom. Where personal information is transferred internationally, we expect our service providers to use the safeguards required by applicable UK data protection law.

How long we keep information

We do not keep personal information for longer than reasonably necessary. As a general approach:

Enquiries that do not lead to enrolment may normally be retained for up to 12 months following the last meaningful contact, after which they will be deleted unless there is a legitimate reason to retain them for longer. Learner and course administration records may normally be retained for up to six years after the end of the relevant course where this is reasonably necessary for administrative, contractual, certification, insurance or legal purposes.

Financial and accounting records will be retained for the period required by applicable tax and accounting rules. Some limited information, such as a record confirming that a certificate was awarded, may be retained for longer where there is a legitimate reason to be able to verify the training subsequently. Information may occasionally be retained for longer where required by law, where a dispute or legal claim is anticipated or ongoing, or where another legitimate reason applies.

Cookies and website technology

Like most websites, this site may use cookies and similar technologies. Some cookies are necessary for the website to function properly. Others may be used for purposes such as understanding website usage, remembering preferences or providing additional functionality. Where consent is legally required for non-essential cookies, visitors will be given an appropriate choice. You can also control or delete cookies through your browser settings, although disabling certain cookies may affect how some parts of the website function. The ICO advises that visitors must be told when cookies are being used and that consent is generally required before non-essential cookies are placed.  Where non-essential analytics, advertising or similar technologies require consent, they will not be activated until the appropriate consent has been obtained, and visitors can change or withdraw their choices through the website's cookie settings.

Your data protection rights

Depending on the circumstances, UK data protection law gives you rights in relation to your personal information.

These may include the right to:

  • ask for confirmation of whether we hold personal information about you;

  • request a copy of personal information we hold about you;

  • ask us to correct information that is inaccurate or incomplete;

  • ask us to delete personal information in certain circumstances;

  • ask us to restrict how information is used in certain circumstances;

  • object to certain uses of your personal information;

  • request the transfer of certain information where the right to data portability applies; and

  • withdraw consent where processing is based on your consent.

These rights are not absolute and whether a particular right applies will depend on the circumstances and the lawful basis on which the information is being processed. If you wish to exercise a data protection right, please contact: contact@thefrederickschool.co.uk

We may need to ask for sufficient information to confirm your identity before responding to a request.

Complaints

If you have concerns about how The Frederick School has handled your personal information, please contact us in the first instance so that we have an opportunity to address the matter. You also have the right to raise a concern with the Information Commissioner’s Office (ICO), the UK regulator responsible for data protection.

We may update this Privacy Policy from time to time, for example if the way we collect or use information changes or if our legal obligations change.

The current version will be made available on this website and the date at the top of the policy will show when it was last updated.
